How Bookings are Made

Your website has been fully configured to allow it to take bookings and payments automatically without further input. You can change any setting at any time, but the settings have been chosen to lower credit card and payment gateway fees for you, allow time to complete bank transfers, give guests a familiar and seamless booking experience, and to comply with the Fair Trading Act.

Booking notifications (default settings)

Your accommodation can only be booked by making a payment. The payment will be either a deposit (if booked more than 5 days before arrival), or the full amount if booked within 5 days of arrival. When a booking is made, you will receive an email like this:

All the relevant information is on the email but you can click on the “view booking” button to see more details and the activity log that tells you what’s be done and sent. You can edit , change or cancel the booking, and send the Payment Request manually if you wish.

Guest notifications (default settings)

Guests have a di􀀁erent booking experience depending on how far ahead they book. If they book more than 5 days prior to arrival:

They pay only a security deposit at checkout
They receive a confirmation email (below) that includes links to their booking information and to cancel their booking
They receive an automatic Payment Request email with your bank details 14 days prior to arrival. Guests who book within 14 days of arrival receive the Payment Request email immediately

Refunds

All refunds are handled manually. Credit card payments taken using the Stripe Payment Gateway can be refunded from your Stripe account dashboard.
Bookings paid for by bank transfer may be refunded through your normal online banking platform.
Payment Requests (default settings)
The Payment Request is sent automatically to guests who book more than 5 days before the arrival date (and have only paid a deposit). Guests who book within 14 days of the arrival date will receive the Payment Request immediately. Below is an example of a Payment Request email to guests.

Send a Manual Payment Request

Payment requests are automatic. Manual payment requests are only necessary if a guest requests an additional email with your banking details or wishes to pay sooner.
