Edit Booking Settings

Edit your bookings, rules, rates, and automatically sync external calendars.

We’ve partnered with Motopress to give you a highly flexible booking engine. Your website has been configured with default settings, adjusted for your preferences, but you can always make changes yourself. Here’s the Motopress guide.

Add a booking period (Season)

A booking period, or “Season”, is a length of time for which you want rates or rules to apply. Examples of a Season could be Winter, a school holiday, or a long weekend. Apply only real dates to all added seasons. Adding a season is the first step towards changing rates or booking rules.

To set a new season go to Accommodation → Seasons → Add New.

Note: as for prices for seasons, you’ll be able to set them later in the Rates menu.

  1. Type the season’s title (e.g. 2014, Christmas period, High/Low Season).
  2. Define start and end date of this season (real dates).
  3. If this “season” is limited to some specific days during a period you set, go to “Applied for days” list and select the days when parameters of this season are active.
  4. If you want to repeat this season for the next year (not every year), select the ‘Annual’ button. Such repeats start on the season’s Start date and continue for one year from that date. If you want a shorter period, just pick an end date in the “Repeat until” calendar.
  5. Publish your changes.

All your seasons are displayed with the newest ones at the top by default. You can manually reverse the order and see the oldest seasons first by sorting them with the help of the ‘Start’ and ‘End’ dates.

Add or change a Rate

Rates help you create tiered prices for accommodations.

  • If you want to offer rates such as Refundable vs. Non-Refundable or Breakfast Included vs. No Breakfast, create separate rates for each condition. For example, one rate for Refundable and another for Non-Refundable.

  • If you don’t offer rates based on different accommodation conditions, create just one rate.
  • If you want to adjust accommodation prices based on the time of year (Season), length of stay, or number of guests, add these price variations within a single rate, don’t create a whole new rate. Simply add the needed number of “Season Prices” to the existing rate and customize the price variations accordingly. These prices will apply automatically.

Add a rate

  1. Go to Accommodation → Rates → Add New.
  2. Specify a rate title (e.g. triple standard non-refundable, triple standard with breakfast included, etc.).
  3. Choose an accommodation type from the drop-down menu.
  4. Click ‘Create Rate’.

Customize a rate

You can create multiple seasonal prices within a rate.

  • Add price variations for different seasons by clicking “Add New Season Price”.

Important: If you want to simply add a new price variation, don’t create a whole new rate, rather simply add a new “Season Price” within the existing rate.

When adding prices, choose a Season first to identify the timeframe when these prices are active.

  • “Base Occupancy” means the maximum number of people that can stay at the price you set for it.The “Base Occupancy” numbers you see are populated from the Accommodation type settings [“Base adults occupancy” and “Base children occupancy.”] – but you can manually change them in this menu.
  • Set per-night prices based on the number of nights booked.

  • If you want to charge extra per adult/child when a guest selects more than a base occupancy, add these prices in the respective menu. For bookings exceeding the set base occupancy (when a guest selects more guests for a stay than the ‘base occupancy’), the final price automatically includes “Extra Adult/Children” fees as defined in the Rates menu.

How is it possible for guests to select more people than the base occupancy? The maximum number of selectable guests can be set through Settings > General > Search Options > Max Adults/Max Children.

  • Optionally enable price variations if you want to customise the pricing for the exact number of people.

Note that prices set in the variable pricing menu are used first (they have priority) to calculate the final cost at checkout.

Write a description of this rate specifying the most important information for your guests (e.g. refundable, non-refundable).

Note: You can quickly set a seasonal price’s priority with a button click using the “Move to Top” “Move to Bottom” or “Move Up/Down” options.

Calendar Sync

If you list your property on multiple online channels, you can easily avoid overbooking by synchronising all those channels with your site and with each other. To make this synchronisation possible, the online channels you use should support iCalendar file format.

Your website comes fully synced with the platforms of your choice by default but you may choose to do it yourself. For an explanation, see our article here.
